Opening steps

Microsoft Word

Preserve the original and inspect a working copy in a compatible application.

  1. Use it as a template when creating a new document, then name that new document.
  2. To edit the template, open a DOTX copy from Word’s Open command.
  3. At save time, check whether the result should be DOCX or DOTX.
Inspect the received file and its requirements

Establish dependencies and settings before proceeding.

  1. Keep distributed templates separate from completed documents.
  2. Identify required fonts, logo images and page settings.
  3. Check the organization’s template location and intended usage.

Menu labels and support vary by app, OS and version. Preserve the original before making changes.

Troubleshooting by symptom

  • Master overwritten: restore a prior copy and create a separate working DOCX.
  • Fonts change: inspect required and substitute fonts.
  • Logo missing: determine whether the image is linked or embedded.
  • Cannot retain macros: examine DOTM when a macro-enabled template is required.

DOTX → DOCX / PDF

  1. Complete a document based on the template and save separate editable DOCX and delivery PDF copies.
  2. Reopen the result and verify fields, headers, page numbering and PDF page extent.

DOTX is not a macro-enabled template, and PDF does not preserve a fully reusable Word template structure.

Manage templates and completed documents

Include a version or effective date with a distributed template to reduce outdated logos, addresses or wording. Updating the master does not guarantee that previously created documents adopt every change.

Worked example: checks before handoff

Example: when updating an invoice template, edit a duplicate and create one fresh DOCX to check margins, page breaks and entry fields.
