First: choose for your purpose

Choose a browser or Preview for reading, a suitable PDF app for forms/signing, and an editor for content changes. A scan may lack text data. Separate opening, searching and editing before choosing a conversion.

Opening steps

Choose your environment or purpose to see its steps.

Windows: reading versus form entry

An attachment preview can fail even when the saved original opens. Check page count before filling it.

  1. Save the attachment, check for a zero-byte file, and use Open with → Edge or Acrobat Reader.
  2. Try desktop Acrobat Reader when fields/signatures are missing. Distinguish a page image from restricted form fields.
  3. Save a separate copy, reopen it and check that values persist. Follow the recipient’s prescribed form workflow.
macOS: inspect pages in Preview

Annotations and content editing are different operations. Preserve signed originals.

  1. Open With → Preview in Finder and inspect all pages using the sidebar.
  2. Zoom into small text and try selection/search; failure may mean scans or restrictions.
  3. Use Acrobat for form behavior or digital-signature validation. Printing/exporting a new PDF does not preserve the original signature validation.
iPhone / Android: save before opening

Inspect the saved file rather than relying on a small web/mail preview.

  1. Save to Files or Downloads and open in a PDF-capable app after download completes.
  2. Check the last page, wide tables and fields. Use the designated desktop app for unsupported specialized forms.
  3. Confirm whether you are sharing the original or filled copy. Screenshots omit other pages and interactive links.

Menu labels and support vary by app, OS and version. Preserve the original before making changes.

Troubleshooting by symptom

  • Blank pages or corruption errors: download again and compare size with the sender’s copy. A .pdf name can conceal an HTML error page.
  • Ask the author for a required password. Scanned pages may need OCR before text can be searched.
  • Boxes instead of letters or print-only failures: compare updated viewers and ask for properly embedded fonts before rasterizing the document.
  • Lost form values: check destination, name and write permission, then reopen the saved copy; you may be reopening the original attachment.
  • Upload-size rejection: check the limit and page count, optimize image compression on a copy, and review signatures and fine text.

PDF → JPEG / PNG

  1. In Acrobat, select Convert → Image format → JPEG or PNG. Availability depends on edition and subscription.
  2. Export to a new location and check page count and text readability.
  3. Inspect every exported page for order, fine text and background; retain signed originals separately.

Raster images do not preserve searchable text, links or interactive forms. Keep the PDF and avoid sending confidential documents to unknown converters.

Working with scanned PDFs

For scans without searchable text, Acrobat’s Scan & OCR can add a text layer. Choose page range/language and check edition requirements.

Compare recognized text with the image, especially names, amounts and dates. Retain the original and validate before use.

Before submission: pages and field values

Keep viewing copies, editable sources and signed originals separately. Word/image conversions can change layout, links, forms and signatures.

Open the actual outgoing file and check missing pages, orientation, field values, unwanted comments and personal data.

Related-format differences

Related-format differences
Format / choicePurpose and preserved information
PDFFixed pages with possible links/forms; capabilities depend on creation and permissions.
DOCXEditable text; conversion from PDF can alter tables and wrapping.
JPEG / PNGPage images; they do not replace searchable text or signature validation.

Handling and security

PDFs can contain links, attachments and active features. Keep the viewer updated and avoid suspicious embedded links or files.

Questions and answers

Why can’t I copy text?

The page may be scanned or copying may be restricted. Check permissions; scanned pages may need OCR.

Can Reader alone export JPEG?

Viewing and export are different features. Check whether image export is included in your edition.

Does an image preserve a digital signature?

A visible signature image is not cryptographic validation. Retain the signed PDF.

Is a browser preview enough for submission?

Check values, signatures and every page, using any application specified by the recipient.

Is OCR text guaranteed to match?

No. Faint text and complex tables can be misrecognized; compare and correct.
