Documents

PUB is Publisher’s editable layout document for flyers, business cards and newsletters. October 2026 retirement means installing Publisher is no longer a universal solution. Use an available licensed installation or ask the author for exports, preserving both viewing output and editable source.

Example: a practical checking sequence

Example: to reprint an old PUB flyer, first check whether licensed Publisher access remains available. Otherwise request PDF from the producer. Verify size, image quality, text and bleed, and preserve text, images and PUB for future rebuilding; a matching PDF is not restored editing structure.

Opening steps

Choose your environment or purpose to see its steps.

If a licensed Publisher installation remains available

Check licensing and retirement conditions first.

  1. Copy the original PUB and associated images.
  2. Open it in an available Publisher installation and inspect all pages and fonts.
  3. Save a PDF plus text, images and editable source needed for migration.
If Publisher is unavailable

Word is not a direct substitute for editing PUB.

  1. Ask the author for PDF and discuss a suitable editable replacement.
  2. Check PDF page size, bleed, images and text.
  3. Check printer requirements and retain PUB.

Menu labels and support vary by app, OS and version. Preserve the original before making changes.

Troubleshooting by symptom

  • Microsoft 365 access is unavailable: check Publisher retirement conditions from October 1, 2026.
  • Word cannot read it as a Word document; request exports or migration from the author.
  • Text shifts: check required fonts and mail-merge data.
  • Images are missing or blurry: check source images, links and export resolution.
  • Converted output is not editable: retain source elements or an appropriate authoring format.

PUB → PDF and migration assets

  1. Inspect pages and assets in an environment that can still open the source.
  2. Export PDF using suitable quality and page settings.
  3. Verify the PDF in another app and retain text, images and PUB for rebuilding.

Importing PDF elsewhere does not guarantee restoration of Publisher’s editing structure; plan print delivery and editable migration separately.

October 2026 retirement

Microsoft states that Publisher becomes unavailable to Microsoft 365 users from October 1, 2026. Perpetual installations may remain usable, but support ends October 13, 2026.

Current access and ongoing support are separate issues. Preserve PDF and migration assets while an authorized environment remains available.

What to preserve for migration

For cards and flyers, dimensions, margins, images and fold positions matter; retain a visual reference for rebuilding.

  • Source text, images and licensing records.
  • Finished dimensions and printer specifications.
  • Store mail-merge source data separately with restricted access.

Handling and security

Avoid unofficial installers for retired products. Verify licensing and keep mailing lists or merge data away from unknown conversion services.

Questions and answers

Can I simply install Publisher through Microsoft 365 now?

Not universally; check October 2026 retirement terms and your license.

Does a perpetual installation immediately stop working?

It may remain usable, but support retirement is a separate concern.

Can Word edit it directly?

PUB is not a Word format; migration requires appropriate exports or assets.

Is PDF enough for future editing?

It does not preserve the full authoring structure; retain source text, images and PUB.

What should I send for publication?

Provide suitable output such as PDF and confirm publication or printer requirements.
