InDesign Document

Creative Projects

INDD is an InDesign authoring document with dependencies on images/fonts. Use project packaging for editable handoff and PDF for viewing; the document alone may omit resources.

Opening steps

Choose your environment or purpose to see its steps.

InDesign: open a document

Match versions and linked images.

  1. Identify document, linked images and fonts and copy the original.
  2. Open a copy in compatible InDesign and preserve the source if a version conversion is needed.
  3. Inspect page count, text, images and columns against a reference PDF.
Inspect missing links and fonts

Check overset text as well.

  1. Use Links/preflight to inspect missing or modified images and text issues.
  2. Relink the correct images and use licensed matching fonts or appropriate substitutes.
  3. Recheck line breaks, text widths, pagination and image resolution.
Print, viewing or editing handover

PDF export and asset collection serve different purposes.

  1. For editable handover inspect Package collection scope and licensing.
  2. For print PDF follow destination specifications for bleed, images, color and fonts.
  3. Verify the destination document or inspect every PDF page before delivery.

Menu labels and support vary by app, OS and version. Preserve the original before making changes.

Troubleshooting by symptom

  • Older version fails: check version support; request IDML where appropriate and compare layout.
  • Low-quality/missing imagery: inspect links and display quality rather than judging print quality from previews.
  • Overset text: inspect font substitution, paragraph settings and composition differences.
  • Newer INDD rejected: request a supported IDML export rather than renaming.
  • Font replacement causes overset text: inspect line breaks, paragraphs and pagination.
  • Package lacks fonts: inspect collection and redistribution restrictions.

INDD → PDF / packaged project

  1. Export PDF with appropriate range, bleed and font settings.
  2. For editable handoff, use File → Package after preflight and check font-sharing rights.
  3. Inspect text, images, bleed and color on every page; keep source INDD and assets.

Not every font, including activated Adobe Fonts, can be handed off as a font file; PDF serves a different role from the master.

Document versions and dependencies

INDD depends on linked images/fonts; copying only the document may not reproduce the appearance elsewhere.

After opening inspect page count, image placement, overset text, tables and notes rather than accepting readability alone.

Keep editable source and reference PDF

Include editable document, images, licensed fonts, output conditions and required application version.

PDF does not restore equivalent editable composition; preserve delivery PDF and editing source separately.

Handling and security

Review hidden objects/resources and asset/font licenses before sharing.

Questions and answers

Does INDD include all images?

Externally linked resources must also be supplied.

Is IDML guaranteed identical?

No; compare pages across versions/features.

Does packaging supply every font?

Font licensing and activation restrictions apply.

Can I rename INDD to PDF?

Use actual PDF export; renaming does not convert an editable document.

Does a package guarantee print readiness?

Collection and print validation are separate; check preflight and destination PDF specifications.
