First: choose for your purpose
Use a DOCX word processor for editing and a sender’s PDF for appearance checks. Fonts, page breaks and revisions can differ across apps. Start with a copy before resaving important documents.
Opening steps
Choose your environment or purpose to see its steps.
Menu labels and support vary by app, OS and version. Preserve the original before making changes.
Troubleshooting by symptom
- For changed layout, check fonts, print settings and application compatibility; compare with a reference PDF.
- Do not force-open format/suffix mismatch warnings; request a new save. Encrypted documents need a password.
- Cannot open: try Word’s Open and Repair on a copy; it cannot restore data missing from an incomplete or zero-byte download.
- Missing revisions or changing text: inspect Review display settings and tracked changes before accepting revisions.
- Missing images: ask about linked resources or embedded objects; a document-only transfer can omit dependencies.
DOCX → PDF
- Choose PDF Save/Export from Word’s File menu; labels vary by version.
- Open the output PDF and check tables, headings, pagination and links.
- Reopen the export and check tables, footnotes, page count and revision handling; retain the DOCX source.
PDF is not an equivalent editing format. Check fonts, shapes and accessibility information; retain the DOCX.
Checking layout differences
Check fonts, paper size, margins and print scaling first, then table widths, columns and headers/footers. Separate screen appearance from print output.
For contracts or resumes, retain an editable DOCX and a PDF reference and confirm the required submission format.
Repair a copy
Open and Repair can recover some damaged files but does not guarantee complete restoration; inspect text, figures and tables afterward.
If repair fails, retrieve the sender’s original, a previous version or backup. Unzipping DOCX does not automatically restore a usable document.

Related-format differences
| Format / choice | Purpose and preserved information |
|---|---|
| DOCX | Modern editable document; distinct from macro-enabled DOCM. |
| DOC | Legacy binary format requiring compatibility checks. |
| Viewing/distribution; does not guarantee full editable-source structure. |
Handling and security
Embedded objects and external links still need care. Do not dismiss warnings in untrusted documents.
Questions and answers
Can I open it without Word?
Compatible apps include Writer; verify complex layout fidelity.
Why does DOCX ask for a password?
It may be encrypted. Obtain the correct password from the author.
Does PDF export remove editability?
Keep both: PDF is not a replacement for the editable DOCX master.
Can I submit a repaired DOCX immediately?
Inspect every page, table and image and compare with the source reference.
How should I share with someone without Word?
Use PDF for reading, or an agreed editable format when editing is required.
