Example: a practical checking sequence
Example: an OXPS invoice opens only an app picker. Check XPS Viewer first. On a managed PC where it cannot be added, request PDF from the sender. Verify the final page, orientation and print scale as well as amounts. Keep both files and confirm any signature requirements.
Opening steps

Menu labels and support vary by app, OS and version. Preserve the original before making changes.
Troubleshooting by symptom
- Only an app picker appears: check the viewer and file association rather than assigning Word.
- XPS opens but OXPS does not: check OpenXPS support; renaming cannot repair compatibility.
- Viewer installation fails: organizational policy or Windows configuration may be involved; contact the administrator or sender.
- Pages are missing: compare with the original and request another download or export.
- Text is not editable: this is fixed-layout output; request the original authoring document.
OXPS → PDF after successful viewing
- Verify that every page renders correctly in XPS Viewer.
- Open Print and, if available, select Microsoft Print to PDF and save a new file.
- Open the PDF in another viewer and compare text, margins and page count.
Printing to PDF does not guarantee preservation of signatures or document features. Keep the original and confirm requirements for evidentiary use.
OXPS versus XPS
OXPS denotes OpenXPS; XPS commonly denotes the earlier document format. Reader support can differ.
If a recipient accepts only XPS, use an actual supported export rather than changing the suffix.

Before submitting
Whether PDF conversion is appropriate depends on the recipient’s requirements; readability alone is insufficient.
- Page size and orientation match the specification.
- Page count and attachment size are correct.
- Required signatures and searchable text remain usable.
Related-format differences
| Format / purpose | Use and preserved information |
|---|---|
| OXPS / XPS | Fixed-page documents; distinguish specifications and reader support. |
| Widely readable; verify preservation during export. | |
| DOCX | Editable source content rather than fixed-page delivery. |
Handling and security
Use trusted viewer distribution, avoid unsolicited repair utilities, and keep confidential documents away from unknown online converters.
