First: choose for your purpose

PPTX is an editable presentation. Use a supporting app for the slide show or PDF for static reading. Text, sound, video and animation need separate checks; opening alone does not prove show readiness.

Opening steps

Choose your environment or purpose to see its steps.

Windows: test in PowerPoint

Check both editing view and Slide Show.

  1. Open a copy in PowerPoint and inspect all slides/notes.
  2. Play animations, sound and video in Slide Show and check linked media.
  3. Save separately and test aspect ratio, fonts and audio on the presentation PC.
macOS / Linux: inspect differences

Keynote/Impress imports can alter features.

  1. Import a copy through PowerPoint, Keynote or Impress Open.
  2. Review font/import notices and compare figures, charts, notes and media.
  3. Reopen any exported PPTX and test the slide show again.
Mobile / web: sharing and static handouts

Rendering/effect playback depends on environment.

  1. Open the saved PPTX in a supporting app and inspect the full slide list.
  2. Identify the required desktop environment for media/special effects.
  3. For PDF delivery, decide on slides versus notes and inspect unwanted information.

Menu labels and support vary by app, OS and version. Preserve the original before making changes.

Troubleshooting by symptom

  • Overflowing text may reflect font substitution. The presentation PC may not have the author’s fonts.
  • For media failures, check codecs and linked files. PPTX opening does not ensure media playback.
  • Missing images at presentation: check links/dependencies and request a complete copy from the author.
  • Video without sound: inspect audio codec, volume, track and output device; resaving PPTX alone may not help.
  • PDF does not animate: it is generally static delivery; retain PPTX or an appropriate video for playback.

PPTX → PDF

  1. Use PowerPoint’s PDF save/export for a distribution copy.
  2. Check slide count and text placement; decide whether notes should be included.
  3. Check every PDF slide, note inclusion, text and figures; retain the presentation PPTX separately.

Ordinary PDF output does not retain animation/audio. Review whether speaker notes may be published.

Testing at the presentation location

Check display ratio/resolution, then fonts/placement, then media/effects; ensure presenter notes do not appear to the audience.

A PDF backup can help under time pressure but does not replace animated/audio content; choose the essential static material.

Separate PDF handouts and editing masters

Check ranges, paper and notes/handout settings, then reopen to inspect private notes/comments.

PPTX does not store VBA macros; ask about lost code/features when converting from PPTM or similar formats.

Questions and answers

Can I edit it on a phone?

Compatible mobile apps exist, but validate layout on the actual presentation setup.

Does PPTX store VBA macros?

Ordinary PPTX is not macro-enabled; PPTM is a separate format.

Will PDF show speaker notes?

It depends on export choices. Inspect the PDF before distributing it.

Does a PDF backup reproduce everything?

It can serve as a static handout, generally without animation/audio/interactivity.

Does text overflow on another PC mean corruption?

Font substitutions or display differences can cause it; compare a source-environment reference.
