Example: a practical checking sequence

Example: create and save a PPTX from the company POTX. Use its layouts. An unselectable logo may belong to the master; inspect that instead of overlaying another image. Check fonts, linked images and notes before transfer and attach a PDF appearance reference.

Opening steps

Choose your environment or purpose to see its steps.

Create a presentation

Keep the working presentation separate from its template.

  1. Open POTX in desktop PowerPoint to create a presentation.
  2. Choose slide layouts and fill their placeholders.
  3. Save a PPTX copy named for the project.
Revise the template

Master changes can affect multiple slides.

  1. Copy the original and open the template for editing.
  2. Inspect the theme and layouts in Slide Master view and make required changes.
  3. Save a new POTX version and test its layouts in a fresh presentation.

Menu labels and support vary by app, OS and version. Preserve the original before making changes.

Troubleshooting by symptom

  • Fonts change: check availability; embedding depends on licensing and application support.
  • Missing images may be externally linked assets; ask the author about their location.
  • Text overflow: check placeholder size and content length rather than shrinking everything.
  • Mobile template use fails: provide a PPTX copy and test its layouts.
  • Macros are absent: POTX is not macro-enabled; ask the author for the appropriate format.

POTX → PPTX / PDF

  1. Create and complete a presentation from the template.
  2. Save PPTX for editing or export PDF for fixed-page delivery.
  3. Check the cover, diagrams and final page; retain PPTX when animation or video is needed.

PDF normally does not preserve presentation animation or video playback. Retain the POTX master.

Theme, master and layout

Themes control colors and fonts; masters control shared structure; layouts arrange placeholders. Locate the controlling layer before editing individual slides.

  • Check the master for unselectable logos or page numbers.
  • Use the appropriate layout for title placeholders.
  • Check theme application on pasted slides.

Before sharing

Attach PDF when appearance matters. For continued editing, document fonts, linked assets and PowerPoint version.

Inspect sample data, internal notes and speaker notes before distribution.
